Ordering books/copies (inside UTokyo)

About ordering books/literature from inside the university of Tokyo

Original books, copies of literature, etc. can be ordered from other libraries.

Original books can be ordered from libraries other than the General Library.
Copies of literature can be sent as copies in paper format, but it is also possible to obtain them in PDF (image) format.

  • If you cannot request what you want from MyOPAC, it means that neither the book nor a copy can be ordered, so despite the inconvenience, please come to the library and use the service directly.
  • The saving of literature PDFs obtained using the PDF viewing service is prohibited. Only viewing/printing using the internal network is permitted.
  • ISS emeritus professors can only request the ordering of original books if they can be lent out by the holding library.
Request procedure

You make requests after logging into MyOPAC and searching University of Tokyo OPAC. Requests for materials are received directly by the library that has them.

It normally takes one to three days to receive delivery of an order, so we ask for your understanding. In addition, the loan period for ordered books is generally for two weeks to one month (the period differs depending on the holding library).

Cost

Ordering books inside the university of Tokyo is free of charge.
A charge is levied for literature copies (copy fee only).

  • ISS research staff/researchers (excluding visiting staff etc.) and emeritus professors (only those who are not affiliated with another institution) do not have to pay any fees (fees are disbursed from the library committee budget).
  • Even if covered by KAKEN grants etc., you need to pay out of your own pocket and receive reimbursement later.
  • If it is a personal expense, you need to pay the copy fee (actual cost).
    Personal-expense payment method: Bank transfer
    ISS Library staff will let you know the account number for the bank transfer and the fee that must be transferred.
    Please transfer the money at the Sumitomo Mitsui Banking Corporation ATM next to the Yasuda Auditorium and bring the ATM slip to the ISS Library. (weekdays 9:00-17:00)

Ordering books/copies (outside UTokyo)

About ordering books/literature from outside the university of Tokyo

You can use the ILL (interlibrary loan) system to order books and copies from other university libraries etc.

  • You can also order materials from the National Diet Library, but only if they cannot be obtained from other universities or research organizations.
Request procedure

You make requests after logging into MyOPAC. The ISS Library will order the book concerned from the holding library.

If you cannot make the request from MyOPAC, please download the ILL request form (Word format or PDF format), complete it, and bring it to the library.
Either enter the bibliographic details on the request form or attach a copy of the OPAC etc. search results screen.

  • When ordering from almost all university libraries or research organizations, ISS research staff/researchers (excluding visiting staff etc.) and emeritus professors (only those who are not affiliated with another institution) do not have to pay any fees (fees are disbursed from the library committee budget).
  • Even if covered by KAKEN grants etc., you need to pay out of your own pocket and receive reimbursement later.
  • If it is a personal expense, you need to pay the actual cost including shipping fee.

Terms of use

Terms of use differ depending on the library. Please use them after checking List of University of Tokyo libraries..
Below is a straightforward summary of what is required to read/borrow materials:

Browse

Normally, an IC staff card / student card or library card is required.
A library card is also required to enter libraries that have installed an admission control system.

Copying

If you are able to use official expenses, and you bring a University of Tokyo literature copy request form, issued at the ISS Library counter, you will be able to make official-expense copies.
In addition, coin-op photocopiers (personal expense) are available at some libraries.
Please use the List of University of Tokyo libraries to check the terms of use.

Borrowing

You will need your IC staff card or library IC card, so please bring the card with you.

  • Note: Procedures need to be completed if a proxy is going to borrow books in the name of a teaching staff member. Please inquire at the ISS Library in advance.
Ordering

Anywhere return service

With this service, you can return materials borrowed from other campus libraries at other libraries.

  • The service cannot be used to return materials borrowed directly from places other than departmental libraries (e.g., research offices), so please return such materials directly to the research office etc. from which you borrowed them.
  • ISS staff can return books from other campus libraries by placing them in the ISS Library book drop.
About reciprocal agreements

We have concluded reciprocal agreements with the Faculty of Law, Faculty of Economics, and Institute of Advanced Studies on Asia, which means that special terms of use may apply to ISS staff.

Using libraries outside UTokyo directly

National university libraries

You can use these libraries with a University of Tokyo ID card. If you do not have an ID card, you may need a letter of introduction, so please inquire at the counter.
Before using one of these libraries, we recommend contacting them in advance (e.g., to confirm what materials are available and the days the library is closed).
If you would like us to make such inquiries for you, please give us the bibliographic details (title, volume, etc.) of the materials you wish to use and the day on which you wish to use them.

Libraries of public universities etc.

A letter of introduction is normally required. You will need to check the collection and obtain permission for your visit in advance.
We will make inquiries by telephone, fax, etc., so please give us the bibliographic details of the materials you wish to use and the day on which you wish to use them.
We will issue you with an introductory letter as soon as a response is received from the other library.
Making the inquiries may take some time, so please let us know well ahead of time.

Using "Digitized Contents Transmission Service for Libraries" of National Diet Library

About "Digitized Contents Transmission Service for Libraries"

This service (Digitized Contents Transmission Service for Libraries) allows digital materials to be sent to libraries. Among the digital materials at the National Diet Library, ones that are difficult to obtain due, for example, to being out of print, can be viewed in image format at participating libraries.
The ISS Library is one of these participating libraries, and ISS personnel can use the service inside the ISS Library.

How to use

The service is limited to ISS staff, who can view the digital materials sent using a dedicated terminal inside the ISS Library.
You can make copies (i.e. print out materials) within the scope permitted under the Copyright Act is allowed, but the actual printing will be performed on your behalf by a member of staff. Printing is free of charge.
You cannot make copies, save scanned images, photograph materials with a camera, etc.

  • ISS emeritus professors can also use the service.
  • Because the materials provided through the service are protected by copyright period, it is only possible to copy up to half of the material concerned.

ISS staff who wish to use this service should inquire at the ISS Library counter.
The service is available during ISS Library opening hours (weekdays 9:00-17:00).
Printouts will be placed in your ISS mailbox from the next day the library is open. If you do not have a mailbox, we will hand them to you directly at the counter.

How to confirm which materials are covered by the service

You can use the Internet from your research office or home to confirm whether the materials you wish to view are available with the service.
Access the site below, and search for the materials you want after checking the box "Available only at the NDL and partner libraries" under the search pane. (Only such materials will then be displayed in your search results.)

MyOPAC

If you log in to MyOPAC, you can order literature/books, demand purchases of books, etc. via the web.

If you have UTokyo Account, you can log in by selecting "UTokyo Account Login".
If you do not have UTokyo Account, you can log in by selecting "Library Account Login".
You will be issued an initial password for your library account when you perform user registration at the ISS Library counter.

The requests you can make from MyOPAC are as follows:

  • Check loan/reservation status
  • Requesting copies of or lending of literature
  • Checking status of requests for copies of or lending of literature
  • Demanding book purchases
  • Requesting book purchases
  • Checking status of book purchase requests
  • Changing password (for your library account)
  • Registering, changing, or deleting your second email address

[Important]
After entering your common account ID and password and logging into MyOPAC, your common account authentication information will not be deleted until you close your browser.
If, after using MyOPAC, you leave your seat without closing the browser, anyone can access your MyOPAC screen from that device without entering your ID and password.
So after logging into MyOPAC from a shared device, please make sure to close the browser.

  • Just closing the tab is not enough. If you leave other tabs open, your authentication information remains.
  • And even if you use the logout button, your authentication information remains until the browser is closed.
