Requesting retrieval

About retrieval of materials

The stacks of the ISS Library are organized in a closed stack system.
Graduate school students, undergraduate students, and Administrative staff cannot enter, so a member of the library staff will perform retrieval (meaning the fetching of books/magazines from the archive).
The retrieval service is available during these hours: 9:00~12:00、13:00~16:30.
Retrieval is not available at other times, so we will not be able to fetch materials for you at other times. We ask for your understanding.

If wish to read/borrow material

Please pick up retrieval request form from the counter and enter the title of the book/magazine and the call number.

  • If you know the call number and the title, you can provide it by copying it from the OPAC screen, writing it on a piece of paper, etc.
  • In the case of magazines, please be sure to enter the year of publication (because newly-arrived issues are shelved in a different location).
  • Retrieval may take some time, so we ask for your understanding.

Entering the stack (academic staff only)

About entry to the stack

University of Tokyo teaching staff and researchers can enter the stack and search for materials themselves.
Graduate school students, undergraduate students, and administrative staff cannot enter, so a member of the library staff will perform retrieval.

Entry procedure

University of Tokyo academic staff should hand over their ID card (or library card) before entering the archive. If you do not know where the material you are looking for is, please do not hesitate to ask a member of staff for help.

  • Academic staff from the university can also ask our staff to perform retrieval.
  • Please leave your bag at the counter when entering the stack. We ask for your cooperation.

Browse

About browse

Reading is possible until 17:00. Please be sure to return materials you have been reading during that day’s opening hours.
The door locks automatically at 17:00, so you will be unable to enter after that time.
Some materials, such as unbound magazines, cannot be lent and are only available for browse, so please keep this in mind.
You can also take materials out of the library for the purpose of reading.

Materials available for browse

Almost all materials are available for reading. However, the reading of old materials and other materials that are at risk of damage due to degradation may be restricted, so we ask for your understanding.
And in the case of some materials, you will need to make a request to read them.

Browse procedure

We will complete the library system procedure, so please present your IC student card / staff card or library card.

  • If you have not yet completed user registration, or if you need to update your registered information, please perform the necessary procedures at the library of your department before arriving.

In the case of unbound magazines or unregistered materials, please enter the required information in the reading slip.
You also need to complete the reading procedure even if you are only going to use the material in the reading room.

Text magnifier

The reading room is equipped with a text magnifier. If you wish to use it, please inquire at the counter. Use is limited to ISS Library collection materials.

Hours available: 9:00-17:00 on days the library is open

  • Non-ISS personnel are limited to 90 minutes each time they use it, but if no one else is waiting at the end of this time, they may continue to use it.
  • You can also reserve it in advance. Non-ISS personnel can reserve it for up to 90 minutes.
  • Even if you haven’t reserved, you can still use it if no one else is. Usage is assigned on a first-come, first-served basis.

Borrowing

Materials available for lending

Almost all materials are available for lending. However, the following materials cannot be lent out for use outside the ISS (browse is permitted):

  • Unbound journals
  • Reference books in the reading room
  • CD-ROMs, DVDs, videos, etc. (excluding those attached to books)
  • Microfilm/fiche materials
  • Western books published before 1800

In addition, the loan of privacy-protected materials, original materials, and repositories/collections is restricted, so you will need to request to borrow them. Please see the linked page for details.
However, the loan of materials other than the above that are at risk of damage due to degradation may be restricted, so we ask for your understanding.

Lending procedure

We will complete the library system lending procedure, so please present your IC student card / staff card or library card.
If you have not yet completed user registration, or if you need to update your registered information, please perform the necessary procedures at the library of your department before arriving.
Please check the Available service for information such as the number of loanable books and loan periods.

Overdue penalties

Please make sure to return them by the return deadline. We cannot lend you any other materials if ones you have already borrowed are overdue.
In the case of undergraduate and graduate students, overdue penalties are imposed when return is overdue by four days or more. If the return deadline has passed, but you return the materials within three days (including days on which the library is closed), you will not be subject to penalties. From the fourth day after the return date, you will not be able to borrow any materials for a period equal to the number of days that the materials were overdue.
Even if you return the overdue materials, you will not be able to borrow any others at that time, so please be careful.

You can use the “Check loan/reservation status” screen on MyOPAC to confirm such matters as the return dates of materials you have borrowed and whether you are subject to overdue penalties.

Extension of loan period

If you wish to extend the loan period of materials you have borrowed, you can complete the renewal procedure from the Check loan/reservation status screen on MyOPAC (once only). Please see help section for information about operation.

However, you cannot obtain an extension from the MyOPAC screen in the following cases:

  • The materials have been reserved (even if you click the [Extend] button, it will produce an error message)
  • You have already obtained one extension from the check loan/reservation status screen on MyOPAC
  • The return deadline for the materials you wish to obtain the extension for has passed
  • The return of other ISS Library materials is overdue
  • It is during the ISS Library’s overdue-penalty period (for undergraduate and graduate students only; overdue penalties are imposed if materials were overdue by four or more days, so even if you return the overdue materials, you will not be able to borrow any others at that time)

If you wish to complete the extension procedures at the ISS Library counter, please bring the books/journals you would like an extension for to the counter along with your IC student card / staff card or library card.

However, you cannot obtain an extension at the counter in the following cases:

  • The materials have been reserved
  • The return of other ISS Library materials is overdue
  • It is during the ISS Library’s overdue-penalty period (for undergraduate and graduate students only; overdue penalties are imposed if materials were overdue by four or more days, so even if you return the overdue materials, you will not be able to borrow any others at that time)
About the loan of unregistered materials

The lending of some materials, such as unregistered materials, cannot be processed by the reading system. In the case of such materials, please complete a lending form at the counter.

Returning

About returning

Unless they are at risk of being damaged, you should return all campus-library materials by placing them in library book drops.
In the case of materials at risk of damage, please follow the instructions you were given when you borrowed them.

Reserving books on loan

Procedure

Log in to MyOPAC, search for the materials you want, and click the [Reservations/ordering] button. This will display the reservation authentication screen, from which you can complete the reservation procedure by entering your user ID and password.
Please see help section for information about operation.

  • In the case of materials that cannot be reserved from OPAC, please ask to reserve them at the counter.
  • They may be being used by ISS teaching staff, so if the same materials can be borrowed from another campus library, we ask that you borrow them from that library whenever possible.
  • If materials you have reserved are required by ISS academic staff for research purposes, we may refuse to allow you to use them, so we ask for your understanding.

Copying

Copying procedure

To make a copy of reading materials, please complete an electronic copy request form. The form is available at the counter.

  • Copying within the scope permitted under Article 31 of the Copyright Act is allowed.
  • If, for example, the material has degraded, we may refuse to allow it to be copied, so we ask for your understanding.

You can use the photocopier in front of the library (10 yen for a black and white copy and 50 yen for a color one).

  • You will need a co-op card. Please purchase one in advance from the co-op shop (which is open from 10 a.m.) or elsewhere.
  • Cash cannot be used.
  • Copy cards from the Faculty of Letters photocopy center cannot be used, either.
  • A lot of people may wish to use the photocopier, so please wait your turn.

If you have printed out information from the database, CD-ROMs, etc. inside the ISS Library, the fee is 20 yen per page.
After completing payment at the bank ATM (Sumitomo Mitsui Banking Corporation) next to the Yasuda Auditorium, please bring the ATM receipt with you.

Copying at internal official expense

If you bring a University of Tokyo literature copy request form, issued by your department’s library, you will be able to make official-expense copies.

Ordering ISS books/copies

Ordering books

Books in the ISS collection can be ordered from your own department’s library, as well as from the General Library, Komaba Library, and Kashiwa Library. Please make requests from MyOPAC.

Reference books, microfilm/fiche materials, CD-ROMs etc., Rare books, Semi-rare books, degraded materials, and other in-library use only materials
Ordering copies
  • Persons eligible: Non-ISS member
  • Sending method: Mailing of paper copies, PDF viewing
  • Fee: 20 yen per page (or 60 yen per page for color paper copies only)
  • Conditions: Limited to the scope permitted under Article 31 of the Copyright Act

You make requests after logging into MyOPAC.
The ordering of copies is subject to fees, so advance user registration is required. For details, please inquire at your faculty’s library.

Microfilm/fiche materials

Procedure

Microfilm/fiche materials can be used after completing the reading procedure. They cannot be lent outside the ISS. Two microfilm/fiche reader/printers are installed in the reading room.
The microfilm/fiche reader/printers in the ISS Library may only be used for microfilm/fiche materials that belong to the ISS.
Regarding their use, persons who have made an advance reservation to use microfilm/fiche materials are given priority. If you haven’t made a reservation, and the two microfilm/fiche reader/printers are already being used, you will not be able to view microfilm/fiche materials, so we ask for your understanding.

Payment at personal expense

If you have printed out microfilm/fiche materials, the fee is 20 yen per page.
After completing payment at the bank ATM (Sumitomo Mitsui Banking Corporation) next to the Yasuda Auditorium, please bring the ATM receipt with you.
For details, please inquire at the counter.

Payment at internal official expense

If you bring a University of Tokyo literature copy request form, issued by your faculties’s library, you will be able to make official-expense payments.
Before arriving, please inquire at your faculty’s library.

Rare books, Semi-rare books

About materials

Use of rare books, Semi-rare books is restricted in order to preserve valuable materials.

Please check the relevant sections of the Available services for details.

Procedure

You will need to make a request for use of Rare books, Semi-rare books in advance. Please download the following application form from one of the links below, complete it, and bring it to the counter.
If you have any questions, please consult the ISS Library staff in advance.
